Shopify Orders
Closed Orders
Orders from Shopify will create an order in Heartland Retail. Line items are automatically distributed, assigned to locations, and can be automatically invoiced. Invoicing ensures that inventory levels are committed so your fulfillment team can focus on managing fulfillment, not the complex process of distributing and invoicing.
Finding Shopify Orders in Heartland
Search for the Shopify Order Number(i.e., S-1004) on the Heartland Retail sales orders screen.
Open Orders
Shopify orders for products that do not have physical inventory (i.e., a preorder) or don't have enough inventory on hand are created as an open order in Heartland. Open orders can be manually distributed, fulfilled, and invoiced by your team when the inventory becomes available. Open orders should appear in the Heartland dashboard.
Pending Orders
In rare cases, orders may upload as pending. Pending orders mean that Mortar was not able to complete the order automatically. A missing product, an incorrect discount calculation, or a required field will cause pending orders. Pending orders can be manually distributed, fulfilled, and invoiced by your team.
Shopify fulfillments
With Mortar, Heartland Retail is the master source for Shopify's Available inventory.
When a line item is fulfilled in Shopify, the Committed quantity in Shopify is removed and subtracted from the Onhand quantity; the Available quantity remains the same. Inventory is credited or debited in Heartland when the sale is created in Heartland.
Shopify returns and refunds
Returns and refunds
Return transactions and canceled orders from Shopify will create a ticket in Heartland Retail. The ticket will include all the return details you would expect, like the customer's name, what they returned, the quantity, and how much they paid.
Not for restock or money-only refunds
On returns that are not for restock, or money only, the Shopify Refund product is used to recognize the financials correctly, and inventory is not returned to stock.
Finding Shopify Returns in Heartland
Search for the Shopify Order Number (i.e., S-1005) in Heartland Retail Tickets
Shopify order edits
After a Shopify order is created, if you accept an exchange or add additional products, Shopify handles this as an edit to the existing Shopify order. Heartland Retail does not support editing or updating completed invoices. Therefore, new inovice are created in Heartland Retail when an edit is made to a Shopify order.
If a Heartland Retail order is still open, Mortar will add the new products to the open order.
Order edit reference numbers
The reference # added to Heartland Retail invoices from Shopify orders related to an order edit is appended with an "-E00n" (i.e. #52548-E001).
